Real estate software that remembers every enquiry and every plot
Listing websites, CRM, unit booking, site progress apps and buyer portals for promoters, builders and agencies who cannot afford to lose another lead.
Real estate and construction software covers property websites, lead management, unit inventory and booking, site progress reporting, contractor costs and buyer portals. It suits plot promoters, builders and brokerages whose enquiries, availability and site updates are spread across phones and spreadsheets.
The challenges we hear most
- 01
Leads scattered across phones
Enquiries from portals, ads, hoardings and referrals land with whoever picks up, and follow-ups depend on one person's memory.
- 02
Same unit, two buyers
Availability lives in a spreadsheet that one person updates, so a plot or flat gets promised twice on a busy weekend.
- 03
Calls from anxious buyers
Buyers, many of them living abroad, call repeatedly about construction progress, payment due dates and document copies.
- 04
Site and office out of step
Progress, labour and material are reported by phone, so cost overruns and delays surface only at month-end.
- 05
Payment schedules on paper
Stage-wise demands, receipts, agreements and approvals are spread across files, email and the accountant's folder.
What we build
- 01
Property listing website
Projects with layout plans, approval numbers, RERA registration where applicable, live availability and brochure downloads that capture enquiries.
- 02
Real estate CRM
Leads by source and salesperson, follow-up dates, site visits, visit notes and the unit under discussion.
- 03
Unit inventory and booking
Plot and flat status with time-limited blocking, booking amounts and agreements, so nothing is sold twice.
- 04
Buyer portal
Progress photos, payment schedule, receipts and documents for buyers on the web and Android.
- 05
Site progress app
Daily reports with dated photos, labour count, material received and issues, working offline on site.
- 06
Contractor and cost tracking
Work orders, running bills, material indents and budget against actual for every project.
The enquiry you paid for and then lost
A plot promoter on the outskirts of Madurai runs Facebook ads and a property-portal listing for a new DTCP-approved layout. Enquiries arrive in three places: the ad form, the portal's email and the site manager's phone. A month later the owner wants to know how many people visited the site, how many are still interested and why the best lead booked with someone else. Nobody can answer, because the leads were never in one list. In real estate every enquiry costs money to generate, and losing track of the follow-up throws that money away.
What a property website has to do
Buyers study a project online long before they call. The website should show each project with its layout plan, approval numbers and RERA registration where applicable, location, amenities and current availability; offer the brochure in exchange for a phone number; and keep a WhatsApp button on every page. For plotted layouts, a clickable map showing sold, blocked and available plots answers the first question every caller asks. A web portal with an admin panel behind it lets your team update availability without touching code.
A CRM shaped around site visits
A property sale moves from enquiry to site visit to negotiation to booking to agreement to registration, sometimes over months. A real estate CRM should follow that path: each lead with its source, the salesperson responsible, the next follow-up date, site-visit bookings, notes from the visit and the unit under discussion. When a unit is blocked for one buyer, it should vanish from everyone else's list and return automatically if the booking amount does not arrive. That single rule stops the same flat being promised to two families. If you are weighing a ready-made option, our comparison of a custom CRM and Zoho CRM sets out the trade-offs.
Construction: closing the gap between site and office
For builders, the harder problem starts after the sale. Site engineers report progress, labour and material by phone; contractor bills arrive with quantities nobody can verify; and buyers, especially those living abroad, keep calling to ask how far the building has risen. We build a site app for daily progress with dated photos, labour count, material received and issues raised, which works offline at sites with poor coverage. The office sees budget against actual cost per project and per contractor. Buyers log in to a portal showing progress photos, the stage-wise payment schedule, receipts and documents. Our page on software for construction companies lists the modules in detail.
What it costs
A property website with an interactive layout map is a dynamic site with an admin panel, which typically costs ₹75,000 to ₹2,50,000 and takes 6 to 10 weeks; a simpler brochure site for one project costs less. A CRM on its own runs from ₹50,000 to ₹1,50,000. A complete system covering listings, CRM, unit booking, site progress and a buyer portal falls between ₹1,50,000 and ₹5,00,000, and dedicated Android apps for site staff and buyers can take it beyond that. We raise GST-compliant invoices in India and accept international wire transfers from developers in Malaysia and Singapore.
What to build first
Brokers and plot promoters should begin with the website and CRM, because leads are their raw material; our page on software for real estate agencies goes further. Builders with projects under way should begin with the site app and buyer portal, because that is where calls and cost overruns pile up. An individual agent with a handful of listings honestly does not need custom software; WhatsApp Business and a well-kept spreadsheet will do until the volume grows. When it does, VS Tech Builders can scope the next step with you.
Frequently asked questions
Can the website show which plots are still available?
Yes. We draw your approved layout as an interactive map where each plot is coloured by status: available, blocked or sold. The colours come from the same booking records your sales team uses, so the map is always current. A blocked plot returns to available automatically if the booking amount does not arrive within the period you set, and visitors can enquire about a specific plot straight from the map.
Do we need a custom CRM, or will a ready-made one do?
A ready-made CRM works well for a brokerage that mainly tracks leads and follow-ups. Custom becomes worth it when leads must connect to your own unit inventory, booking amounts, payment schedules and buyer documents, because stitching those together inside a generic CRM produces exactly the spreadsheets you were trying to escape. If your process is simple, try the ready-made option first and move only when it pinches.
How can buyers living abroad follow construction progress?
Through a buyer portal and app that show dated progress photos for their block, the stages completed, the payment schedule with dues and receipts, and copies of their documents. They get a notification whenever a new update is posted or a payment falls due. Time zones stop mattering, and your office stops spending its mornings answering the same questions by phone.
Will site engineers really use an app at the site?
They will if a daily report takes a few minutes: a handful of photos, the labour count, material received and any issue, with the date and location added automatically. The app works without signal and uploads later, because many sites have poor coverage. We test it with your engineers during the build and remove any field they consistently skip, since a skipped field is usually one nobody needed.
