Custom Management Software

School management software built around your fee rules and branches

One system for admissions, attendance, fees, exams, transport, hostel and library, with a parent app, built for schools that run more than one campus.

School and education management software is a custom system that runs a school's office: admissions, attendance, fees, exams, transport, hostel, library and parent communication. It is built for multi-branch schools and large single campuses whose fee structures and reporting needs no longer fit a ready-made subscription.

Starting from
₹85,000
Typical range
₹1,50,000 – ₹5,00,000 (multi-branch with parent app ₹5,00,000+)
Timeline
10–16 weeks

What we build

  • 01

    Offline-first attendance

Teachers mark attendance on a phone even without signal; it syncs later and alerts parents the same morning.

  • 02

    Fee matrix and receipts

Fees by class, route, hostel and concession, with instalments, UPI payment and branch-wise defaulter lists.

  • 03

    Parent app

Attendance, homework, circulars, fee reminders and payment in one Android and web app.

  • 04

    Exams and report cards

Subject-wise marks entry, board-style grading and printable or digital report cards.

  • 05

    Transport and hostel

Routes, stops and drivers; rooms, mess charges, leave and gate passes, each linked to fees.

  • 06

    Multi-branch control

Separate receipt series and reports per campus, with a trust-level view above them.

  • 07

    Library and no-dues

Issue and return tied to the student record, with year-end clearance built in.

Who this is for

This page is for the correspondent, principal or trustee of a school that has outgrown its office tools. The usual signs: fees are tracked in one Excel file per branch, attendance lives on paper until a clerk types it in, the parent WhatsApp groups have become the official notice board, and nobody can say with confidence how much fee is outstanding across all campuses this morning. If you run two or more branches, or one large campus with transport and hostel, a custom school management system is worth a serious look. A single small school with simple fees usually is not the right buyer, and we say so below.

What we build

We built the multi-branch system behind Cambridge School Madurai, and the modules below are the ones that mattered there and in the schools we have scoped since.

  • Admissions and student records: enquiry to admission, documents, siblings linked, transfer certificates generated from the record.
  • Offline-first attendance: the class teacher marks attendance on a phone or tablet even when the classroom Wi-Fi drops, and it syncs when the signal returns. Absence alerts go to parents the same morning.
  • Fees matrix: fee heads by class, transport route, hostel, concession category and sibling discount, with instalment schedules, receipts, UPI and online payment, and a defaulters list per branch.
  • Exams and report cards: marks entry by subject teacher, grading as your board defines it, printed and digital report cards.
  • Transport: routes, stops, vehicle and driver details, route-wise fee.
  • Hostel: rooms, allotment, mess charges, leave and gate passes.
  • Library: issue and return linked to the student record, no-dues at year end.
  • Parent app: attendance, homework, circulars, fee reminders and payment, on Android and as a web app.

How it fits an Indian school

Fee receipts must satisfy your auditor, so each branch keeps its own receipt series and a trust-level view sits above them. Circulars go out through WhatsApp and SMS, because a notice that only lives inside an app will be missed by half the parents. Fee collection runs through UPI and the payment gateway you choose, with the receipt generated automatically. Reports export in the formats the board and the education department ask for, so the office is not retyping numbers into government portals at year end. Tamil and English both work in names, addresses and notices.

How the build runs

We follow the six-step process we use on every project, with two school-specific habits. First, we sit in your fee office for a day before designing anything, because the fee matrix is where school software succeeds or fails and no two schools calculate it alike. Second, we go live at a term boundary, after loading one branch with real student data and running a fee cycle on it. Weekly demos mean the principal sees the attendance screen in week two, not week ten.

What it costs and why

Custom school management software typically starts around ₹85,000 for a single campus with admissions, attendance and fees. A complete system with exams, transport, hostel and library lands between ₹1,50,000 and ₹5,00,000. Multi-branch schools that also want the parent app should budget ₹5,00,000 and above. Pricing is fixed-scope and milestone-based, paid 40 per cent upfront, 30 per cent at the midpoint and 30 per cent on delivery, and the school owns the source code and every account when the last payment clears. Timelines run 10 to 16 weeks depending on the module count.

When not to build custom

If you have one school under a few hundred students, a flat fee structure and no transport or hostel, a ready-made subscription will serve you well for a fraction of the cost. We compare the two routes honestly in custom school ERP versus ready-made school software, and the buyer's guide to school software in India covers the questions to ask any vendor. Colleges have different needs again, which is why we keep a separate page on software for colleges. If after reading those you still want a system shaped around your fee rules and your branches, VS Tech Builders will scope it with you.

Frequently asked questions

Can teachers mark attendance when the classroom has no internet?

Yes. The attendance screen is built offline-first, so a teacher marks the class on a phone or tablet with no signal and the records sync to the server when the connection returns. Absence messages to parents go out once the sync completes, which in practice is within minutes of the period ending. Nothing is lost if the device is switched off in between.

Can fees differ by transport route, hostel and concession category?

That is the normal case we design for. Each fee head can depend on class, route, hostel block, concession category and sibling status, and instalment schedules can differ by head. The office sees one consolidated amount per student while the accountant still gets head-wise collection reports. Changes for a new academic year are made in the matrix, not by editing every student.

How do we move our existing student and fee data into the new system?

We import it. During discovery we take your current Excel sheets or exports from the old software, map every column, clean obvious errors with your office and load one branch first as a test. Opening fee balances are loaded per student so outstanding amounts are correct from day one. The migration is part of the fixed scope, not an extra.

Do parents really need an app, or are WhatsApp groups enough?

WhatsApp groups work for notices but fail for anything personal: a fee reminder, an absence alert or a report card cannot go to a group. The parent app handles those privately and the same system still sends circulars on WhatsApp and SMS. Schools with a few hundred students often skip the app initially and add it in a second phase.

Can each branch run separately while the trust sees everything?

Yes. Every branch has its own student base, staff, receipt series and reports, and branch staff only see their own campus. The trust or correspondent logs in to a consolidated view with collection, outstanding and attendance across all branches. Pricing for multi-branch schools starts higher because this layer of control is real engineering, not a checkbox.
