Coaching centre software from first enquiry to final rank list
Enquiries, batches, fee instalments, attendance, weekly tests and parent updates on WhatsApp, plus an online test portal for students who practise on their phones.
Coaching centre software follows a student from the first enquiry through admission, batch allocation, fee instalments, attendance and test results, and keeps parents informed without a teacher typing messages at night. We build it for NEET, JEE, government exam and tuition centres in India that have outgrown spreadsheets and WhatsApp groups.
Where the day goes wrong
- 01
Enquiries lost in the rush
The admission season after results is short, and a call not returned within a day or two is usually a student who joined elsewhere.
- 02
Instalments that drift
Fees are split into instalments, and without reminders the second and third payments slide until someone notices in the final month.
- 03
Marks typed into WhatsApp
After every weekly test a teacher messages marks to parents one by one, or posts a rank list that exposes every child.
- 04
Batch changes nobody records
Students move from the morning batch to the evening one, faculty swap sessions, and attendance registers stop matching reality.
- 05
Faculty hours disputes
Part-time faculty are paid by the session, and the month-end count of who taught what becomes an argument.
What we build for you
- 01
Enquiry tracker
Calls, walk-ins and website or Instagram leads in one list with follow-up dates, demo class bookings and conversion by counsellor.
- 02
Batches and timetable
Courses, batches, rooms and faculty sessions, with students moved between batches without losing their history.
- 03
Fees and instalments
Course fees, scholarship discounts, instalment schedules, receipts, UPI payment links and reminders before each due date.
- 04
Attendance and alerts
Session attendance from a phone or QR code, with absence messages to parents the same day.
- 05
Results to parents
Marks entered once per test, then each parent receives their own child's score, rank and subject trend on WhatsApp.
- 06
Online test portal
Timed multiple-choice tests with negative marking, a question bank by topic, automatic scoring and topic-wise analysis.
- 07
Faculty session log
Sessions taught, recorded per faculty member and batch, feeding the month-end payout.
How a coaching centre runs, week by week
A NEET coaching centre in Madurai with four batches, eight faculty and a Sunday test has a steady rhythm. Monday to Saturday is teaching, with attendance taken in each session. Sunday is the test. On Monday someone evaluates the answer sheets and spends the evening sending scores to parents. Meanwhile the front office is answering new enquiries, collecting the second instalment from some families and chasing the third from others. In the weeks after board and entrance results, enquiries arrive faster than one counsellor can return them.
Where fees and students slip away
The loss in a coaching centre is rarely theft. It is slippage. An enquiry that was not called back joins the centre across the road. An instalment nobody reminded is paid two months late or not at all, while the student keeps attending because attendance and fee status live in different registers. A parent who never hears how their child is doing assumes the worst and moves them next term. Faculty session counts are disputed because nobody logged them as they happened. Each of these is small; together they decide whether a centre grows or stalls.
Office, classroom and parents
For most centres the system has three parts. The office gets an enquiry tracker with follow-up dates, admissions, batch allocation and a fee ledger with instalments and UPI payment links. The classroom gets session attendance and marks entry after each test. Parents and students get individual results on WhatsApp, fee reminders, and an online test portal where students practise timed multiple-choice papers with negative marking on their phones. Our CRM software page goes deeper into the enquiry side, and web portal development covers the student login.
Learning platforms are familiar territory for us. The CertTulen Academy platform we built takes course orders and payments and issues certificates across three countries, and the TechSpire Global Academy website is our work too. A coaching centre's version focuses on batches, fees and tests rather than course sales, but it stands on the same foundations.
App, portal or just WhatsApp
Parents of a class 11 student will open a WhatsApp message; few will install an app for one centre. Students are different: a test portal used three times a week earns a place on their phones, and a progressive web app often does that job without a Play Store listing. A full Android app makes sense when you also sell recorded lectures or run several branches.
What a centre system costs
A centre system with enquiries, batches, fees, attendance and WhatsApp results typically starts around ₹85,000. An online test portal on its own is a dynamic portal in the ₹75,000 to ₹2,50,000 range, depending on the question bank and the analysis you want. A student app typically starts around ₹65,000, and a website from ₹13,999. Most centres can go live in 8 to 12 weeks; we time the launch for the start of a new batch, not the middle of a term.
Start before the admission season
The smallest useful system is the enquiry tracker with fee reminders, ready before admissions open, because it touches the two places where money is actually lost. A tutor running two batches from home does not need any of this; a register and a WhatsApp broadcast list will do. VS Tech Builders is a fit when you have several batches, several faculty and a front office that is always catching up.
Frequently asked questions
Can test results go to each parent privately instead of a group rank list?
Yes. After a test, marks are entered once and each parent receives a private WhatsApp message with their child's score, rank in the batch and subject-wise trend. No rank list is posted to a group. Parents who want more can open a simple web page with the full history, through a link that works only for their own child.
Can students take timed tests with negative marking on their phones?
Yes. The test portal runs in the phone browser with a timer, section-wise questions, negative marking as you set it and automatic scoring when the student submits. You see topic-wise analysis for each student and for the batch. Questions come from your own question bank, organised by subject, chapter and difficulty, so faculty can assemble a new paper quickly.
How are fee instalments and reminders handled?
Each admission carries its own schedule: the course fee, any scholarship discount, and the instalment dates and amounts agreed with the family. A reminder goes out a few days before each due date with a UPI payment link, and the receipt is sent automatically once paid. The office sees overdue students by batch and decides whether overdue status shows on the attendance screen.
We already use Google Forms and Sheets. Why change?
If Forms and Sheets are working, keep them. They usually stop working when several people edit the same sheet, when fees, attendance and marks sit in separate files, or when parents need individual updates rather than group messages. At that point the real cost is the staff hours spent holding the sheets together, and a system with one record per student starts to make sense.
