Custom Management Software

Inventory software that knows what is in every godown right now

Stock across godowns and branches, batch and expiry control, barcode counting from a phone, reorder alerts and the purchase-to-dispatch paperwork, linked to your GST billing.

Inventory and warehouse management software tracks stock by location, batch and unit, and handles the purchase, transfer and dispatch documents that move it. We build it for wholesalers, distributors and manufacturers in India whose stock sits in more than one godown and no longer matches the spreadsheet.

What we build

  • 01

    Multi-godown stock

Live quantity per location, transfers with notes, and in-transit stock counted once.

    Batch and expiry

Batch-wise quantities, first-expiry-first-out picking and a near-expiry report for pharma and food.

  • 03

    Phone barcode counting

Print labels and scan from Android; stock audits need no dedicated scanner.

  • 05

    Purchase and GRN

Purchase orders, goods receipt against them, supplier bills matched and pending views.

  • 06

    Dispatch and challans

Delivery challans, pending-order tracking and transporter details on every dispatch.

  • 07

    GST billing link

HSN and tax slabs on the item master, invoicing built in or vouchers pushed to Tally.

  • 08

    Unit conversions

Buy in bales or boxes, sell in metres or strips; the system converts without errors.

Who this is for

Picture a textile wholesaler in Erode with a main godown, two showrooms and a stock figure that exists in three versions: the godown register, the Tally entry and the owner's memory. Orders are confirmed on the phone against stock that was sold yesterday. A bale of a popular shade sits unsold in the second showroom while the main godown reorders it. That is the business this page is written for: anyone holding stock in more than one place, in more than one unit, with enough SKUs that a spreadsheet has stopped being honest. Pharma and food distributors with batch and expiry dates belong here too.

What we build

  • Item master with variants: colour, size, GSM, pack size, and unit conversions such as bale to metre or box to strip, so the godown counts in one unit and the invoice bills in another.
  • Multi-godown stock: live quantity per location, transfers between branches with a transfer note, and in-transit stock that is not double-counted.
  • Batch and expiry: batch-wise stock, first-expiry-first-out picking, and a near-expiry report that is actually read.
  • Barcode and QR: label printing and scanning from an Android phone, so a stock count does not need dedicated hardware. Our barcode and QR system glossary entry explains the options.
  • Reorder alerts: minimum levels per item per godown, with a WhatsApp message to the purchase manager when stock crosses the line.
  • Purchase and dispatch: purchase orders, goods receipt against them, dispatch with delivery challan, and pending-order views for the sales desk.
  • GST billing link: either we add invoicing with HSN codes and tax slabs, or the system pushes stock movements to the billing or accounting tool you already use.
  • Reports: stock ageing, dead stock, fast movers, valuation by godown.

How it fits an Indian trading business

Tally usually stays. Most of the distributors we talk to want their accountant untouched and their stock finally correct, so the system exports vouchers rather than replacing the books. Godowns rarely have reliable internet, which is why the counting app works offline and syncs later. The HSN code and GST rate sit on the item master once, and every document inherits them. Reorder and dispatch alerts go out on WhatsApp because that is where the purchase manager and the transporter already are.

How the build runs

For VS Tech Builders, discovery means walking your godown with a notebook, not sending a questionnaire. We need to see how goods arrive, where they sit and how a salesperson checks availability today. The item master and unit conversions are designed first, since every later screen depends on them. Development runs in weekly demos. Testing ends with a physical stock count entered as opening stock, which doubles as the cleanest audit most businesses have done in years. After go-live, the 14-day correction window covers whatever the first real month surfaces.

What it costs and why

A stock-only module, meaning item master, godowns, barcode counting and reorder alerts, typically falls between ₹50,000 and ₹1,50,000. Add purchase, dispatch and GST billing and you are building a complete system in the ₹1,50,000 to ₹5,00,000 range. Multi-branch operations with a warehouse app for staff sit at ₹5,00,000 and above. What moves the price is the number of document types and integrations, not the number of items. We quote a fixed scope, invoice with GST, and transfer the source code on the final milestone. Expect 8 to 12 weeks.

When not to build custom

A single shop with one stockroom, a few hundred items and no batches does not need us. A ready-made billing-and-stock app, or even a disciplined spreadsheet, will do, and we explain where the line falls in Google Sheets versus inventory software. Custom makes sense when stock sits in multiple locations, when units differ between purchase and sale, or when a ready-made tool forces a workflow your godown staff will quietly ignore. Our pages on software for wholesale distributors and software for textile showrooms go deeper into those two trades, and the billing and inventory guide for small business is the right starting point if you are still deciding whether to buy anything at all.

Frequently asked questions

Can the inventory system work alongside Tally instead of replacing it?

Yes, and that is how most of our distributor clients run it. The inventory system becomes the source of truth for stock movements, and sales and purchase vouchers are exported in a format Tally imports, so your accountant keeps working as before. If you would rather bill from the new system, we add GST invoicing and still export to Tally for the books.

Do we need barcode scanners or can staff use their phones?

Phones are enough for most godowns. The Android app scans barcodes and QR codes with the camera, prints labels through a standard label printer, and works offline during a count. Dedicated scanners make sense only at a high-volume packing line where speed matters more than cost, and you can add them later without changing the software.

How do we enter opening stock without stopping the business?

We schedule a physical count over a weekend or a slow day, godown by godown, using the counting app itself. Each count is entered as opening stock with the date, and movements from that moment onward run through the system. Businesses with several godowns count them on different days; the system handles the staggered start.

Can it handle batch numbers and expiry dates for pharma or food stock?

Yes. Every receipt can carry a batch number, manufacturing date and expiry, stock is held batch-wise, and picking suggests the earliest expiry first. A near-expiry report runs on whatever horizon you set, and expired batches are blocked from dispatch unless a manager overrides with a reason that is logged.

Will low-stock alerts reach the right person automatically?

Each item has a minimum level per godown, and when stock crosses it the system sends a WhatsApp or app notification to the purchase manager with the item, location and suggested quantity. Alerts batch into a morning summary if you prefer, and a reorder report lists everything below minimum so one purchase order covers the lot.
