Gym software that catches renewals before members quietly drift away

Plans, renewals, QR check-in, class schedules and personal training packs in one system, with reminders that reach each member before the plan runs out.

For a gym, the software that matters tracks member plans, renewals, attendance, trainer schedules and personal training packages, and warns the desk before a plan lapses. We build custom versions for fitness chains, class-based studios and gyms with a large personal training business, where ready-made gym apps no longer fit.

Where the day goes wrong

  • 01

    Silent lapses

Plans end without a call, the member drifts away, and the front desk only notices months later when the register is cleaned up.

  • 02

    PT sessions off the books

Personal training packs are tracked in a trainer's notebook, so sessions used, sessions owed and trainer payouts never quite agree.

  • 03

    Desk discounts

Joining offers and renewal discounts are given verbally at the front desk, and the owner cannot see who approved what.

  • 04

    Overbooked classes

Popular evening batches overflow while morning slots run half empty, because bookings happen through WhatsApp messages to the trainer.

  • 05

    Paper attendance

Sign-in registers get skipped on busy mornings, so there is no reliable signal of which members have stopped coming.

What we build for you

  • 01

    Membership plans

Monthly to annual plans, joining fees, freezes for travel, transfers and upgrades, with GST invoices and UPI or card payments.

  • 02

    QR check-in

Members scan a QR code at the entrance or show theirs at the desk, and expired plans are flagged before the member walks in.

  • 03

    Class and trainer schedule

Batches with capacity limits, trainer shifts and class bookings, so the evening slots never overflow.

  • 04

    PT packages

Session packs sold against a named trainer, each session confirmed by the member, with incentives calculated from confirmed sessions.

  • 05

    Automatic reminders

WhatsApp and SMS messages before renewal dates, after missed weeks and on birthdays, without anyone at the desk having to remember.

  • 06

    Member app

Plan validity, class booking, renewal payment, workout and diet plans from the trainer, and progress records in one Android app.

How a gym really earns

A gym's income is not made on the day a member joins. It is made on the second, third and fourth renewal. A member who joins on a three-month plan and renews twice is worth far more than the joining offer suggests, while one who lapses after the first plan has cost you whatever brought them through the door. Personal training adds a second income line with its own complications, because it is sold at the desk, delivered by trainers and paid out as incentives. Group classes add a third, where batch capacity rather than floor space sets the limit.

Where gyms lose money

Most of it walks out quietly. A plan ends, nobody calls, and the member who meant to renew next week never does. Attendance on paper hides the member who has not checked in for three weeks, which is usually the warning before a lapse. In personal training, sessions are logged in a notebook, some clients end up paying trainers directly, and the gym sees only the floor space being used. At the front desk, joining discounts depend on who is on shift. These are visibility problems before they are honesty problems.

What goes into the system

The system starts with members and plans: plan types, freezes, transfers, payments and GST invoices. Attendance runs on QR check-in, which costs almost nothing and shows exactly who is coming and who has stopped; if you already own a biometric machine that can export its logs, we read those instead. Personal training is sold as packs of sessions against a named trainer, each session is confirmed by the member, and incentives are paid on confirmed sessions only. Group classes use a booking system with a capacity for each batch. Reminders go out on WhatsApp and SMS before renewal dates and after a missed fortnight.

The member app is optional but useful for larger gyms. It shows plan validity, books classes, takes renewal payments by UPI and carries the workout and diet plans trainers assign. Our article on whether a business needs an app will help you judge if your members will open one. Gyms in Malaysia or Singapore collect renewals through Curlec or Stripe instead of Razorpay.

Budget and timeline

Memberships, attendance, PT packages and reminders for one gym typically start around ₹85,000 and take eight to ten weeks. A member app is a separate Android build that typically starts around ₹65,000 for a simple version and runs ₹1,00,000 to ₹2,50,000 with class booking, payments and trainer plans. A chain with several branches, cross-branch access and an app is a bigger build, usually ₹1,50,000 to ₹5,00,000. Before we talk, the app cost estimator will put a rough number on the member app.

What to start with first

Start with renewals and attendance. Those two modules repay the project fastest, because every member kept from lapsing is income you have already earned once. Add PT package tracking next if personal training is a large share of revenue. Build the member app last, when the data behind it is clean and your staff use the system every day.

When a ready-made gym app is enough

A single gym that mainly needs renewal reminders and attendance can run well on one of the many monthly gym software subscriptions. Custom software from VS Tech Builders makes sense when you run several branches, treat personal training as a serious business, operate studios with fixed class capacities or want a member app under your own brand. If your centre also runs yoga batches or sports coaching, see our pages on software for yoga centres and software for sports academies and turfs.

Frequently asked questions

Can members freeze their membership while travelling?

Yes. You set the rules once: how many freeze days each plan allows, the minimum length of a freeze and whether a fee applies. When the desk or the member requests a freeze, the plan end date moves forward automatically and check-in pauses for that period. Every freeze is logged with the name of whoever approved it, so freezes cannot quietly turn into extra discounts.

How do you stop personal training sessions going unrecorded?

Each PT pack is sold at the desk against a named trainer and a fixed number of sessions. After every session, the member confirms it with a tap in the app or a scan at the desk, and only then does the count reduce. Trainer incentives are calculated from confirmed sessions, which gives trainers a reason to record everything and gives the owner a figure to rely on.

Do we need new hardware for QR check-in?

Usually not. A printed QR code at the entrance that members scan with the app needs no hardware at all, or the desk can scan each member's code with a phone or tablet you already own. If you want turnstiles or door locks driven by check-in, that works with compatible access-control hardware, and we scope it separately because the hardware choice decides most of the cost.

Can one membership work across all our branches?

Yes. Each plan carries a rule about where it is valid: the home branch only, selected branches or every branch. Check-in at any location reads the same member record, so an all-access member walks in anywhere while a single-branch member is flagged politely at the desk. Revenue reports can still credit the income to the home branch for your own accounts.
