Furniture store software that follows each order to the doorstep
Made-to-order jobs through every carpentry stage, showroom display stock, advances and balances, delivery slots, installation visits and after-sales calls.
Furniture store software tracks each made-to-order job from measurements and advance through carpentry stages, polishing, delivery and installation, alongside showroom display stock and after-sales service. We build it for furniture showrooms and makers who run a workshop behind the shop floor.
Where the day goes wrong
- 01
Orders tracked on slips
Made-to-order jobs live on paper slips and in the carpenter's memory, so every customer call about status interrupts the workshop.
- 02
Advances and price changes
The advance paid, the agreed finish and any later change of size or wood are scattered, and the final bill becomes a negotiation.
- 03
Materials without job costing
Timber, plywood, laminate and fittings go out to jobs unrecorded, so nobody knows which orders actually earned a margin.
- 04
Display pieces ageing
Showroom pieces sit on the floor for months, untracked, while their value falls and the space could be earning more.
- 05
Delivery and service clashes
Trucks, installation crews and after-sales visits are planned by phone, and promised dates collide.

Two businesses under one roof
A furniture shop is really two businesses. Out front is a showroom selling ready pieces, with prices on tags and goods that leave the same day. Behind it is a workshop that builds to order, with measurements, wood choices, polishing and a three-week wait. The showroom wants retail billing. The workshop wants job tracking. Most software handles one and ignores the other, which is why furniture businesses so often run one tool at the counter and a notebook in the workshop.
From measurements to the doorstep
Take a customer in Coimbatore ordering a teak cot and a wardrobe for a new house. A salesperson measures the room, notes the finish, agrees a price and takes an advance. From there the order passes through at least six hands: timber selection, cutting, assembly, carving, polishing, and delivery with installation. On paper, nobody except the carpenter knows where the cot is, and every status call from the customer interrupts someone who is working.
We build an order form that carries measurements, photos, wood, finish, price and advance on one record. A workshop board shows every job by stage with the carpenter's name. When a job moves from polishing to finishing, the customer receives a WhatsApp update, and far fewer of them need to call.
Which orders actually earned money
Made-to-order work hides its margin in the materials. A table quoted at one price may eat more timber than expected, a sofa frame may need extra plywood, and fittings walk out on the day of installation. We record every issue of timber, plywood, laminate and fittings against the job, so the actual cost sits beside the quote when the job closes. Over a few months you learn which designs make money and which only keep the carpenters busy.
Showroom stock, advances and after-sales
- Display stock. Every piece on the floor carries a tag and a location, with the number of days it has been displayed and any markdown history. Ageing pieces rise to the top of a weekly list.
- Advances and balances. Part payments are matched to the order, and any change of size, wood or finish after the advance is recorded as a revision with the customer's confirmation.
- Delivery and installation. A calendar of truck and crew slots by day and area, with a checklist at the doorstep for unpacking, assembly and a signed acknowledgement.
- After-sales. Complaints such as a loose joint or a polish mark are logged against the original order and its warranty period, with photos, and assigned to a technician.
Scope and cost, and where it does not pay
For orders, workshop stages, material issue and showroom stock together, the price typically starts around ₹85,000. Add delivery scheduling, after-sales tickets and a staff Android app and the total moves to ₹1,50,000 or more, up to about ₹5,00,000. A group with showrooms in several towns and one central workshop sits at the top of that range or beyond. Payment is in three milestones, and VS Tech Builders hands over the full source code on final payment.
If you only buy and resell ready furniture, retail billing is enough, and our POS retail software page describes it. If you run a large factory with machine lines, software for manufacturing units is the better fit. Shops that also design rooms for clients overlap with interior designers and architects, and the engine under all of this is custom ERP software. We would start with the order form and the workshop board, because they relieve the most daily friction, and add stock and delivery next.
Frequently asked questions
Can customers see the progress of their order themselves?
Customers receive a WhatsApp message at each stage you choose, such as cutting complete, polishing started and ready for delivery. A simple tracking page with an order number is possible too. The workshop only has to move the job on the board and the message follows. We keep the wording plain, in Tamil or English, and you decide which stages are worth announcing.
We make furniture to our own designs. Can the system store drawings?
Yes. Each order or design can hold drawings, photos and notes, and repeat designs can be saved as templates with their usual material list, which saves working out materials again for a repeat model. We do not produce the design drawings themselves. Those come from your designer or software and are attached to the order as files.
How is an advance handled when the customer changes the order later?
The original order stays on record and the change is added as a revision with the new price, the date and the customer's confirmation. The advance stays matched to the order, and the balance is recalculated from the revised total. Both versions stay visible, so a disagreement about what was agreed can be settled from the record rather than from memory.
Is it worth it for a small workshop with a handful of orders a month?
Possibly not. With only a few jobs at a time, a shared notebook and a WhatsApp group can work, and a full system adds cost without much benefit. The case grows with the number of simultaneous orders, the number of carpenters and the value of each job. We will give you an honest view after one discovery conversation, even if it is not to buy.
