One screen for sales, stock and dues across every outlet
Role-based dashboards built on the data you already hold in billing software, Tally or spreadsheets, with drill-down, exports, WhatsApp alerts and a layout made for the phone.
An admin dashboard is a private web screen that gathers figures from your existing systems and shows them as current totals, trends and exceptions. We build them for owners and managers whose data is spread across branches, software and spreadsheets, so that decisions stop waiting for someone to compile a report.
- Starting from
- ₹50,000
- Typical range
- ₹50,000 – ₹1,50,000
- Timeline
- 6–10 weeks
What we build
- 01
Connectors to existing data
Billing databases, Tally exports, Excel files and Google Sheets read on a schedule, with no retyping.
- 02
Role-based views
Owners see everything, branch managers see their own branch, accountants see collections and dues.
- 03
Exceptions first
The opening screen shows what needs attention: unusual drops, overdue payments and items below reorder level.
- 04
Drill-down to the bill
Tap a total to see the branch, then the day, then the individual bills behind it.
- 05
Excel and PDF exports
Any table exports in the format your accountant, auditor or bank asks for.
- 06
WhatsApp and email alerts
A morning summary and threshold alerts reach the owner without opening the dashboard.
- 07
Built for the phone
Charts and tables designed for a small screen first, because owners check numbers between meetings.
Who this is for
An owner with four supermarkets across Thanjavur and Kumbakonam has billing software in every outlet, Tally at the head office and a purchase register in Excel. Each system does its job. The trouble is that knowing yesterday's sales, margin and stock position across all four still means waiting for managers to send photographs of printed reports on WhatsApp, then adding them up by hand. By the time the picture is complete, it is a day old. A dashboard replaces none of those systems. It reads from them and shows one honest view, which is exactly what this owner is missing.
What the dashboard includes
- Connections to your existing data: billing software databases, Tally exports, Excel files and Google Sheets, read on a schedule that suits each source, from every few minutes to once a night.
- Views by role: the owner sees every outlet, a branch manager sees one, and the accountant sees collections and supplier dues, a pattern known as role-based access control.
- Exceptions before totals: the first screen lists what needs action, such as an outlet whose sales fell against the same weekday last month, or an item that will run out before the next delivery.
- Drill-down and exports: tap any total to reach the bills behind it, and export any table to Excel or PDF for the accountant or the bank.
- Alerts: a short WhatsApp summary each morning, and an immediate message when a threshold you set is crossed.
Tally, billing software and the owner's phone
It is common for an Indian retailer or distributor to run billing software from one vendor, Tally for the books and Excel for everything else, with none of them talking to the rest. A dashboard is the cheapest way to make them cooperate without touching anything the accountant relies on. Owners here also tend to run the business from a phone, so every chart is designed for a small screen first. Running costs are low: a small cloud server or the hosting you already pay for and, where billing data sits on a local computer, a lightweight sync program that sends it up.
Data first, charts second
The first stage is spent on the data, not the design. We list every source, check how clean it is, and agree the definition of each number with you: does "sales" include returns, is margin worked out on purchase price or landed cost. A dashboard whose figures disagree with the accountant's is ignored within a month, so this step matters more than any chart. Screens are then designed around the five or six decisions you make every week, and weekly demos use your real data. At launch, the dashboard runs beside your existing reports for a fortnight so you can compare the two before trusting it.
What it costs
A reporting dashboard over existing data sits in the same band as a single-module management tool, ₹50,000 to ₹1,50,000, and usually takes 6 to 10 weeks. Cost rises with the number of data sources, how messy they are, how fresh the figures must be and how many role-specific views you need. When the project grows to include new data entry, such as purchase approvals or a stock audit screen, it becomes a management system and is priced like one; our page on custom ERP software covers that route.
When Looker Studio or Power BI will do
If your data already lives in one clean place, such as a single billing system or a well-kept Google Sheet, start with the reports your software already offers, or connect the sheet to a free tool like Google Looker Studio. Microsoft Power BI is another strong choice if someone on your team will maintain it. If stock is your main question, read our comparison of Google Sheets and inventory software first. A custom dashboard from VS Tech Builders is worth it when data is scattered across systems, when different people must see different slices, or when you want alerts rather than another screen to remember. If the billing at each outlet is itself unreliable, fix that first, because no dashboard is better than its source data; that groundwork is part of our software for supermarkets.
Frequently asked questions
Can a dashboard read figures from Tally?
Yes, in most set-ups. Tally can export ledgers, vouchers and stock summaries, and while it is running it can share data with other programs on the same network, so a small utility on the accounts computer can send figures to the dashboard on a schedule. Because Tally must be open for live reads, accounting figures are often synced overnight while sales come from the billing software during the day.
How up to date will the numbers be?
That depends on the source and on how quickly you would act. Sales from billing software can usually refresh every few minutes, while supplier dues and ledger balances are fine updated overnight. Real-time everything sounds attractive but costs more to build and run, and rarely changes a decision. During discovery we agree a refresh schedule for each figure, so you know exactly how current each screen is.
Will branch managers see each other's figures?
Only if you allow it. Each login has a role and a scope, so a branch manager sees their own outlet's sales, stock and staff figures and nothing else, while you see every outlet side by side. A regional manager can be given a group of branches, and you can change any of this from an admin screen without involving a developer.
Is financial data safe on a web dashboard?
It is protected with the measures you would expect from online banking: encrypted connections, individual logins with two-factor authentication for owners, role-based limits on what each person sees, and a log of who viewed or exported what. The data sits in a cloud account in your company's name, transferred to you with the source code, and the dashboard stores only what it needs to display.
Can forecasting or AI insights be added later?
Yes, once there is enough clean history. A dashboard that has gathered consistent data for a year or more can support simple forecasts, such as expected sales by weekday or reorder quantities for fast-moving items. Reliable basics come first, because a forecast built on inconsistent data is confidently wrong. Our article on AI for small businesses in India discusses what is realistic today.
